κύριες αρμοδιότητες
As an Operations Excellence Specialist, some of your tasks will include:
- Event management
- Initiate MAP forms for relevant services, upload all required documents to the MAP platform, ensure that approvals are obtained from “Advisor” and “Decision Maker” roles & monitor end-to-end the process in order to close out MAP jobs within predefined deadlines
- Declare appropriate information to EOF platform ensuring that the final submission to EOF platform is completed within legitimate timeframe according to the transparency policy
- Ensure all contracts are properly signed by all parties involved, in a timely and compliant manner
- Collect signed contracts and delivered to PTP Analyst
- Create or receive shopping carts (depending on activity) based on Guide2Buy and proceed with PO creation/ACR informing respective business owners
- Secure that new vendors for MAP activities are created on time and POs are created prior to service date
- Perform POCN (i.e PO value change /contract update) when needed
- Collect and review proof of work and other relevant documentations and upload them to the respective tool such as MAP platform and ERP system (SAP)
- Confirm service /good and close all POs on time
- Follow up for blocked payments with business owners
- Solve PTP issues related to invoices posting and PO matters
- Contact stakeholders or vendors (based on activity) to receive good /service invoices
- Participate on monthly Open PO meetings and provide detailed commentary /action plan for outstanding items
- Participate on monthly PTP Meetings
- Participate in Audits (internal/external) providing respective material
- Fill in /provide transparency data based on local requirements within predefined deadlines
- Maintain expertise through review of all relevant SOP & guidance documents
- Keep records and archive all important documents such as internal and external correspondence, approvals, contracts, invoices etc
- Monitor execution phase of MAP forms and ensure completion before the date of event/ service

The requirements for this Operations Excellence Specialist role are:
- university/college degree (Bachelor’s degree in Finance/ Business administration will be considered a plus)
- excellent command of the English language, both verbally and written
- computer literacy - Proficient with Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, etc.)
