responsibilities

The tasks of the Sales Administrator position include:

  • Review and update Consensus demand at Forecasting & Planning tool (SAP) 
  • Follow up plant’s confirmations in IBP and align further with Sales updating according IBP & local ERP system wherever required
  • Submit forms for Customer’s Registration (new or update) maintaining properly relevant records at local ERP
  • Submit forms for Customer’s Payment Term & Credit Limit approval in annual basis and upon change of terms or conditions within the year
  • Support Sales force with logistics/ transport requests with HO logistics and/or Plant’s Logistics
  • Compile and maintain specifications of products according to the customers’ needs provided by Sales team
  • Upload new artwork at Artwork platform whenever required
  • Order placement/update to cover customer’s need (Direct & Indirect Deliveries) with the proper specifications, pricing, payment & warranty conditions and rest terms of Order received/agreed
  • Responsible of proper records maintenance of local ERP Warehouse related to products (replenishment orders based on Sales needs, receipt at ERP, placement request at external/local WRH or external and invoicing Customers)
  • Conversion orders at local ERP Warehouse registering demand at ERP and align with local Service team for actions
  • Submit requests for loading and coordinate deliveries with plants and customers
  • Prepare month outlook & budget in co-ordination with Sales including registration
  • Review actual month sales records and request for modification if required
  • Communicate with customers order details execution and delivery details/arrangement 
  • Provide Statement of account (via ERP) either directly to customers or Sales team.
  • Complaint registration related to Order (Specs/Qty/Pricing/Terms) & Transport delivery
  • Receive/File export/import documentation and align with Central invoicing team for the Invoices required to be issued excluding local Warehouse deliveries
  • Notify Finance on time for Duties payment; collect proof of dispatch
  • Commission & Rebate calculation and overview
  • Documentation control / check and tracking

qualifications

The ideal candidate for the Sales Administrator position should have:

  • Business degree (Business, Finance or Logistics preferably)
  • MBA or other M.S. (Logistics) degree is desirable
  • Proficient user of the English language
  • Good command of Italian would be a plus
  • IT literate
