The responsibilities of the Registration Assistant position include:

  • Provide quality service to the company's clients registering their vessels and registration transactions with the company
  • Prepare and compile appropriate vessels’ documents to assist with the completion of registration transactions
  • Schedule meetings with clients and maintain the Registration Diary relative to the registration transactions
  • Ensure all required stationery and office supplies are in place for the smooth operation of the department
  • Prepare and compile the Set of Documents required for new registrations
  • Ensure relevant office procedures are followed
  • Compile letters and correspond with clients via fax, email, mail and telephone
  • Receipt payments received from clients and calculate fees as required
  • Manage provisional extension whenever the need arises
  • Issue Radio Licenses and accordingly update the company's Radio Licence ITU Report whenever the need arises
  • Issue a variety of documents relative to the vessels (transcripts, extracts, Bunker CLCs, CLCs, CSRs, consent letters, certificates)
  • Maintain vessel database and registration filing system
  • Review application forms and supporting documents relative to registration transactions
  • Liaise with other Departments, in particular the Inspections and Surveys and Finance Departments, as well as company's other offices
  • Any other task requested by the Head of Department


The ideal candidate for the Registration Assistant position should have:

  • Degree in Shipping or in relevant field
  • 1-3 years’ experience working in a client-based industry
  • Some knowledge of shipping, contract law in the maritime business will be considered as an asset  
  • Attention to detail is vital
  • Highly developed written and oral presentation skills in a professional manner
  • Good critical thinking and analysis skills
  • Good interpersonal and cross-cultural skills
  • Good teamworking skills
  • Self-motivation and ability to work without supervision
  • Good organisation skills and a mindset of prioritisation of activities
  • Computer competency is essential
  • Oral and written fluency in English language
