Are you an experienced, hardworking and multitasking  Administrator/ Front Office Receptionist with experience in a multinational/ international structured working environment?

Are you keen on working in multiple administrative tasks, in the Reception area?

If your answer, is YES, then we have the ideal 9 months contract for a challenging Front Office Administrator role for you.

  • Operate the telephone switchboard, respond to all incoming phone calls in a polite and proper manner as to ensure that all are redirected to the suitable contact
  • Receive, welcome and cater all visitors to the relevant individual or department as to ensure their comfort during waiting at the reception area
  • Accept delivery of post/parcels and inform addressees
  • Screen and distribute all incoming post, determine when something is urgent and expedite a response as to ensure that all departments receive the information accurately and on time
  • Prepare and record all outgoing correspondence so as to ensure that all mail is sent accurately and on time
  • Manage records that may include internal and external directories, meeting rooms bookings and records of charges
  • May administer parking and taxi arrangements, and issue and collect security badges for visitors
  • Ensure the effective and timely administration of HR department purchase requests
  • Prepare all travel related documentation (visas) when requested
  • Take and pass on messages, determine when something is urgent and expedite a response
  • Maintain the reception area in a tidy condition,  perform basic clerical tasks or undertake copy typing
  • Maintain and update databases/ reports on Company cars & fueling
  • Administrate the Ticket Restaurant benefit for the employees
  • Administrate the proper maintenance and repairs needed at the Head Offices
  • Handle the supplies and consumables management for the Head Offices
  • Assist in any other tasks as requested by the supervisor

  • 2-3 years of relevant experience as Front Office Administrator
  • Holder of University degree
  • Proficient user of the English language
  • IT literate in Ms Office suite (Word, Excel and PowerPoint)

  • Excellent writing and communication skills
  • Flexibility, Interpersonal and cooperation skills
  • Organization skills
