Key Accountabilities:

• Handles all external tasks necessitating frequent visits to Social Security Organizations, Public Institutions, and Health Authorities (such as Tax Offices, EOF, etc.) 
• Coordinates and oversees all in-house Facility Management and Site Services activities, including interfacing with Facility Management providers, monitoring audiovisual infrastructure, and managing recycling initiatives within the company (paper, plastic, batteries, etc.)
• Maintains accurate equipment records and provides relevant documentation during ISO audits, utilizing advanced knowledge of systems
• Handles Corporate Consumables stock overview (stationary, general consumables etc.)
• Contributes to office security and Health, Safety, and Environment (HSE) compliance by adhering to internal procedures and guidelines and in the preparation of department’s communications
• Provides advanced support for daily interactions related to Purchase Requisitions (PRs), Purchase Orders (POs) creation and follow-up, Advance Payments processing, and contracts’ archiving in CLMS-post, in close alignment and communication with global procurement and global service centres while utilizing efficiently Group tools (SAP, Ariba/SmartBuy, CLMS)

The ideal candidate for the position of Facilities Administrator will be expected to have the following:

• University degree; MBA/MSc will be considered a plus
• Proficiency in digital/IT skills – Ability to quickly adopt new technologies
• Knowledge of Ariba/SAP systems will be considered a strong plus
• Fluency in Greek and English (both written and verbal)
• Valid driving license for at least 3 years

• Strong communication skills, a problem-solving attitude, and excellent organizational and time management skills
• Discretion and confidentiality in responsibilities
• Customer-focused mindset, self-reliant, and results-oriented with the ability to collaborate and align effectively

• Minimum 3 years of experience in a similar role
