The ideal Administrative Assistant will have the following profile:

  • Providing ad hoc secretarial support to the Legal team
  • Responsible for filing and maintaining archive, both electronic and hard copy. Retrieval of documents as requested
  • Scanning a high volume of documents and saving them in accordance with certain agreed standards in M-files
  • Monitoring annual leave requests with HR Department and maintain an annual leave chart for the legal department
  • Responsible for the execution of a high volume of documents
  • Updating calendars of the Legal team with all important and necessary information
  • Setting up and monitoring conference calls and meetings of the Legal team to ensure no calendar conflicts
  • Handling calls and messages for the Legal team, preparing memos and correspondence letters
  • Arranging for and monitoring courier dispatches and office supplies
  • Assisting with travel arrangements of the Legal Team in coordination with the HR and Accounting Department
  • Coordinating guest arrangements and logistics and assisting with large meeting events of the Legal department
  • Maintaining and keeping up to date various Trackers (NDAs, Trademarks lists etc.) with legal documentation.


The ideal Administrative Assistant will have the following profile:

  • 3-4 years of previous experience
  • Fluency in English (writing, reading and speaking)
  • MS Office Applications
  • Analytical thinking and attention to detail
  • Ability to use own initiative, proactive
  • Organisational skills
  • Coordination and time-management skills
  • Discretion and an understanding of confidentiality issues
  • Adaptive to a multicultural environment
  • Experience with filing/archiving legal documents (preferred).
