responsibilities

The Administrative Assistant will be responsible for:

  • Maintaining Greece/Bulgaria business calendar management
  • Organizing business meetings and all associates’ team events including but not limited to agenda management, travel and accommodation arrangements, calendar bookings, location arrangements, minutes taking, etc; 
  • Providing assistance in organizing training events in Greece/Bulgaria: agenda management, coordination with training providers on arrangements, food delivery management, etc
  • Performing clerical duties such as typing, editing, printing out papers as required;
  • Providing assistance in preparing and compiling presentations;
  • Supporting business travel, preparing expense reports upon request; 
  • Organizing the reception of important visitors
  • Handling the other ad hoc tasks upon request of the Country Head.
  • Running People & Organization administration process through managing relations with payroll partner;
  • Providing support of the Line Managers in providing induction for new employees, preparation of necessary documents/papers, handling agendas, etc
  • Providing assistance in recruitment process: handling the contracts with recruitment agencies, booking meetings with the candidates, supporting assessment panels (printing materials, booking rooms, etc)
  • Coordinating with service suppliers on the following: meal tickets, medical subscriptions, holidays, gifts, birthdays, etc. 
  • Co-leading global Associates initiatives on local level
  • Taking ownership of Benefit Plan management under the supervision of People & Organization Business Partner (Life and Medical Insurance, Pension Plan, cars, etc); attending Benefits Steering Committee meetings, follow on changes, communicate to the Associates, etc. all associates. 
  • Taking part in the implementation of local and cluster Associate policies, assisting People & Organization Business Partner in creating and communicating the policies to the Associates;
  • Budget holder of internal events and People & Organization expenses (printings, paper stationery, office needs, etc.)
  • General administrative tasks of the office;
  • Welcoming of guests and visitors;
  • Processing incoming and outgoing post; 
  • Ensuring effective management of office reception area;
  • Ensuring office and kitchen supplies are available in good quantity;
  • Being the custodian of quality, safety & wellbeing in the office environment;
  • Being the sustainably Ambassador at the local office (recycling, paper use, etc)

qualifications

The ideal candidate should have:

  • University Degree in relevant field
  • Greek – native speaker level, English – fluent; excellent writing skills; advanced Grammar

skills

  • Proofreading skills
  • High business ethics & respect for confidentiality

experience

  • Experience in customer-facing role over 3 years
  • Experience in multinational company
