responsibilities

As an Administrative Assistant some of your main tasks will be to:

▪ Answer and direct phone calls

▪ Organize and schedule appointments

▪ Plan meetings and take detailed minutes

▪ Write and distribute email, correspondence memos, letters, faxes and forms

▪ Handle the courier services

▪ Assist in the preparation of regularly scheduled reports

▪ Develop and maintain the company’s  filing system

▪ Update and maintain admin office policies and procedures

▪ Order office supplies and research new deals and suppliers

▪ Manage the cleaning services and be responsible for the office’s condition

▪ Book travel arrangements for the company’s managers

▪ Submit and reconcile expense reports

▪ Provide general support to visitors

▪ Cooperation with the external accountant regarding the invoices

▪ Act as the 1st point of contact for internal and external clients


requirements

In order to be considered for this Administrative Assistant role the requirements are:

▪          Holder of University/College Degree, will be an asset

▪          At least 2 years of experience in a Receptionist role

▪          Excellent knowledge of the English Language

▪          Excellent Computer skills 

▪          Professional behavior

▪          Strong communication skills, written and oral, interacting with visitors on a daily basis in person and by telephone

▪          Multitasking and organizational skills

▪          High standards of accuracy and attention to detail

▪          Ability to adhere to policies, standards and regulations in own area of work

▪          Confidentiality and discretion 

▪          Structured with very good administrative skills

▪          Possesses personal integrity and credibility

▪          Being able to work independently and define improvement areas within the scope of responsibilities

▪          Self-starter who takes initiatives, accepts responsibility and is able to prioritize
