Are you an exceptionally organized, high energy, very proactive and extremely detail-oriented Executive Assistant with excellent interpersonal skills and a very strong work ethic? Do you also have multi-tasking skills? We are currently seeking an Executive Assistant who will be supporting the GM of one of the most well known heavy industries in Greece. As an Executive Assistant, you will be responsible for:

  • Maintaining diary and arranging meetings/appointments accordingly
  • Screening phone calls, inquiries and requests and handling them in an appropriate manner
  • Reading email correspondence & preparing a short summary/ briefing of its content, highlighting the main topics to inform GM accordingly
  • Maintaining a well-structured electronic filing system
  • Following up with GM on all pending items and reminders
  • Actively participating in meetings by preparing the agenda, minute taking as well as following up on all agreed actions
  • Compose and edit letters, documents, emails, proposals and ensure follow up with those that require answers, responses, and written replies
  • Prepare presentations and speeches for the GM
  • Follow up and ensure delivery of required reports to GM and prepare the monthly report to Shareholders
  • Follow up on various projects, ensuring compliance to time-plan and other project deliverables
  • Manage and coordinate travel arrangements for both business and personal matters, booking and management of all expenses incurred 
  • Spend time and become familiar with all aspects of business 
  • Set all required meetings in cooperation with required colleagues, ensuring all required attendees are communicated.
  • Coordinate onsite meetings, luncheons, coffees, in-house events and organise events for GM outside office and office hours
  • Perform variety of office and personal errands
  • Conduct ad-hoc research on business related matters


The successful candidate for this Executive Assistant position should have the following profile:

  • At least 2 years of experience as Personal Assistant to Senior Executives
  • Bachelor's Degree of Economics or Business Administration
  • Master's Degree in Business Administration, Economics or any other related field would be an asset
  • Excellent command verbal and written in the English language
  • Knowledge of a second foreign language such as French or German, would be an asset
  • Excellent PC skills 
  • Use of blind typing system, in both Greek and English
  • Multitasking
  • Attention to detail
  • Team spirit
  • Excellent communication and interpersonal skills
  • Flexible and able to work under pressure and willing to work extra time during busy times and on call during weekends and after business hours
  • Trustworthy, respectful, honest, loyal, discreet
  • Must demonstrate a can-do attitude and be proactive
  • Ability to problem solve and follow through on a variety of tasks
